SAM.gov registration: what it actually takes, and what delays it
No active SAM.gov registration, no federal award — the rule has no exceptions. Here is what registration involves, how long each stage really takes, and the four mismatches that quietly send a file back to the beginning.
Registration in the System for Award Management is the gate to every federal opportunity. It is free — anyone charging you for it is selling a service you can perform yourself — and it is the single most common reason a capable company misses a deadline it could have met.
What registration gives you
| Identifier | What it is | Who issues it |
|---|---|---|
| UEI | Unique Entity ID, 12 characters. Replaced DUNS in April 2022. | SAM.gov, at validation |
| CAGE code | Commercial and Government Entity code, used across defense systems. | DLA, automatically during registration |
| Registration status | Active / expired. Only 'active' can receive an award. | SAM.gov, valid 12 months |
Gather these before you open the form
- Legal business name and physical address exactly as they appear on your incorporation documents.
- Taxpayer Identification Number (EIN) and the name on file with the IRS.
- Bank routing and account numbers for electronic funds transfer.
- Your NAICS codes, and the PSC codes that match what you sell.
- A named point of contact with an email address that will still exist in a year.
How long it really takes
- 1Entity validation
Two days to several weeks. Longest stage by far, and the one you cannot rush.
- 2Core data entry
One to two hours if your documents are at hand.
- 3Representations and certifications
One hour. Read them: they are legal attestations, not a form.
- 4IRS and CAGE checks
Three to five business days, in the background.
Representations and certifications deserve care
This section is where you assert your socioeconomic status — small business, woman-owned, veteran-owned, HUBZone, 8(a) — and where you certify compliance with provisions such as Section 889 on prohibited telecommunications equipment. These statements are binding. An incorrect claim is not an administrative slip; it exposes you to exclusion and worse.
Answer these questions with your accountant and your lawyer once, carefully, then reuse the answers. Rushing them at 11 p.m. on a deadline is how good companies end up making claims they cannot support.
Renewal is the part everyone forgets
Registrations expire twelve months after activation. An expired registration makes you ineligible for award — including on a bid you have already submitted. Renew at month ten: validation can be re-triggered by any change in your public records, and you want that discovered early.

Frequently asked questions
Is SAM.gov registration free?+
Yes, entirely. Third parties offering to register you are charging for a form you can complete yourself, and your local APEX Accelerator will help you at no cost.
Do I still need a DUNS number?+
No. The Unique Entity ID issued by SAM.gov replaced the DUNS number for federal purposes in April 2022.
What happens if my registration expires mid-bid?+
You become ineligible for award until it is active again — even on a proposal already submitted. Renew at month ten rather than month twelve.
Can I register before I have a contract in sight?+
You should. Validation alone can take weeks, so registering only when an opportunity appears usually means missing that opportunity.
